Overview
Smart Segments refresh automatically on a rolling schedule, and you can also refresh one manually at any time — which is especially important right after a bulk action like unsubscribing a list of contacts.
Automatic update schedule
Each Smart Segment refreshes roughly every 24 hours, with a small random delay (up to 150 minutes) added each time to spread updates out rather than having every segment refresh at once. A background process checks every 17 minutes for any segment whose refresh is due.
This cadence is the same for every active segment — being connected to an automated flow doesn't make a segment refresh any faster.
Note: most segments update within a minute of their scheduled refresh, but larger lists can take up to 5 minutes to fully populate.
Manually updating a segment
If you'd like a segment to reflect the most current data right before sending a campaign, go to the Smart Segments tab and click on the three dots next to it, then the refresh button. There's no cooldown or limit on how often you can click it.
Important: bulk actions — like bulk unsubscribing a list of contacts — don't automatically update segment membership. If you've just made a bulk change and want your segment to reflect it immediately, you'll need to manually refresh the segment rather than wait for its next scheduled update, which could be up to a day away.
Warning: the Auto Update toggle on a segment (visible from Profiles → Segments) is not just a refresh-cadence setting — turning it off deactivates the segment entirely. It moves to an "Inactive Segments" tab, and you can no longer open it, edit it, or manually refresh it while it's there. To bring it back, go to the Inactive Segments tab and toggle Auto Update back on — the segment reactivates immediately and becomes fully accessible again.
FAQs
How often do Smart Segments update automatically?
Roughly every 24 hours, with a small random delay added to stagger updates. This is the same for every segment, regardless of whether it's connected to an automated flow.
Does being connected to an active automation make my segment update faster?
No — every segment follows the same ~24-hour update cadence. Being connected to an active flow affects other things (like whether an unused segment gets automatically deactivated), but not how often it refreshes.
If I bulk unsubscribe contacts, will my segment update right away?
No — bulk actions like bulk unsubscribing don't trigger a segment refresh. The segment will show stale data until its next scheduled update (up to ~24 hours away) unless you manually refresh it.
Can I see when a segment was last updated?
No — there's currently no "last updated" timestamp shown anywhere, either in the Smart Segments list or inside an individual segment's detail view.
Is there a limit to how often I can manually refresh a segment?
No — there's no cooldown or limit on the manual refresh button.
What plan do I need to use Smart Segments?
Smart Segments are available on all SmartrMail plans.
What does the "Auto Update" toggle on a segment do?
It's not a refresh-cadence setting — turning it off deactivates the segment entirely. It moves to an "Inactive Segments" tab, where it can no longer be opened, edited, or manually refreshed. To bring it back, go to Inactive Segments and toggle Auto Update back on — it reactivates immediately.
