Export a Smart Segment to a CSV file

Download your segmented subscribers as a CSV file to use as a custom audience on Facebook or other platforms.

Overview

Smart Segments can be used outside SmartrMail — for example, as custom audiences in Facebook and other social platforms. Export any segment as a downloadable CSV file, then upload it wherever you need it.


How to export a segment

  1. Go to Profiles → Segments, then click into the segment you want to export.

  2. Click Export. The button will show a processing state for about a minute, then change to Download.


  3. Click Download to get your CSV file.

  4. Upload the downloaded CSV into Facebook's Custom Audience feature, or any other platform that accepts CSV files.

Important: manually refresh your segment right before exporting. Testing confirmed that exporting does not recalculate a segment's membership on the spot — it uses whatever membership the segment last computed. A subscriber who no longer meets the segment's condition (for example, someone who just unsubscribed from a "Subscribed to email" segment) can still show up in your export if the segment hasn't refreshed since they stopped qualifying, even though their individual field values (like subscription status) will be current.

Note: each segment also has an Auto Update toggle (on by default, visible from the Profiles → Segments list). This isn't a refresh-cadence setting — turning it off deactivates the segment entirely, moving it to an "Inactive Segments" tab where it can't be opened, edited, or exported at all. If you can't find or export a segment you're expecting to see, check whether it's been deactivated this way. To bring it back, go to Inactive Segments and toggle Auto Update back on.


Note: when sharing subscriber data with a third-party platform like Facebook, make sure you have the appropriate consent and legal basis to do so under applicable privacy laws (like GDPR or CCPA) — this is your responsibility as the data controller, not something SmartrMail manages on your behalf.


FAQs

Is the export instant, or does it take time to process?

It takes about a minute to process. The Export button will show a processing state, then change to Download once your file is ready.

What information is included in the exported CSV?

The export includes standard subscriber fields — email, phone, first name, last name, when they were added, subscription and deliverability status (subscribed, unsubscribed/bounced/rejected/complained timestamps for both email and SMS), last-opened date, and source — plus every custom field on your account, whether or not the subscriber has a value in it.

Will my export reflect the most up-to-date segment membership?

Not necessarily. Testing confirmed that exporting doesn't recalculate segment membership — it uses whatever membership the segment last computed. A subscriber who no longer meets the segment's condition (like someone who just unsubscribed) can still appear in your export, even though their individual data (like subscription status) will be shown accurately. Manually refresh your segment before exporting if you want membership itself to be current, not just the field values.

Is there a limit to how many subscribers I can export at once?

No — there's no row count or file size limit. Larger segments will just take longer to export, but the export won't be truncated or fail.

What plan do I need to export a segment?

Exporting a Smart Segment is available on all SmartrMail plans.
